When a guest fills in your form, they send a request. It is not confirmed until you have decided on it: you decide, not Klarr.
Where to see them
In Bookings. Pending requests are at the top, on an orange background, with two buttons: accept or decline.
They also appear on the service screen for the day concerned, under "Waiting for your answer".
The option that expires
An undecided request blocks the slot. It is deliberate: without it, you could confirm two groups for the same room at the same time.
But it doesn't block it forever. Each request places an option that expires by itself. After that time, the slot reopens for booking, and the request becomes "expired".
That is what stops three curious visitors from freezing your three rooms on a Friday evening because you didn't open your phone.
What the guest sees
They are notified by email, automatically. When you accept, Klarr writes to them that their booking is confirmed — and if the room requires a deposit or a card guarantee, it is the payment link that goes out instead: accepting and asking for the money are the same gesture.
The day before, a reminder also goes out, with a link to cancel in one click. It is the second lever against empty tables: someone who can no longer come says so while you still have an evening to resell the table.
Their email address and phone number stay on the request, clickable, if you prefer to call them.
Cancelling afterwards
A confirmed booking can be cancelled from the same list. The slot reopens immediately.
If it carried a deposit already collected, the refund is made from your Stripe dashboard: it is your account, it is your decision, Klarr doesn't touch your guests' money.
