Taking a booking over the phone

Entering a booking taken by phone so it counts like all the others.

Some of your bookings still come in by phone. If they are not in Klarr, your gauges are wrong and your online page promises seats you no longer have.

Where

The "+ Booking taken by phone" button is in two places: on the Bookings page and on the service screen. The second is handier in the middle of the rush.

What to enter

The name, the date, the number of guests and the service. The phone number is optional but very useful: it becomes clickable on the service screen, to call back in one tap.

The type field distinguishes two cases:

  • Individual booking — an ordinary table. You don't need to choose the room, Klarr takes care of it.
  • Private hire — a group takes a whole room. Here, you choose which one.

The internal note is never shown to the guest. It is for you and your team: "table by the window", "peanut allergy", "birthday, prepare a candle".

Force

The Force box records the booking even if the gauge is full.

Use it when you know it will work: you add two chairs at the end of a table, you know a group will leave early. Klarr doesn't stop you — it has warned you, you decide.

A booking taken by phone is confirmed automatically: you already accepted it when you picked up.

Fewer calls during service

Klarr doesn't pick up for you: it gives your guests what they need so they don't have to call.

  • Your booking link on your Google listing, your website and your Instagram: people book in two clicks, at any time.
  • Your page's assistant answers in writing the questions people ask you on the phone (open on Saturday? a terrace? a room for twenty?), in the guest's language.
  • Your voicemail, for calls that come in during the rush. Record for example: "To book a table, go to our website or our Google listing. For anything else, leave us a message."

Every month, the "This month, thanks to Klarr" block on the home screen shows you how many bookings came in directly and how many guest questions your assistant answered.
