Asking for a deposit

Charge an advance on a private hire, and know where it stands.

A deposit is an amount actually collected before the service. It is requested automatically on private events: a table for two doesn't block a room, and asking it for an advance would drive guests away without protecting anything. For a table that deserves it — a large party booked by phone, for example —, you can also ask for it by hand from the booking's record: "Ask for a deposit or a card guarantee", then Deposit and the amount.

Stripe must be connected.

Setting it

In the room's settings, choose the Deposit guarantee, then the amount, in two forms:

  • Flat fee — a fixed amount, whatever the number of guests. "€300 for the cellar."
  • Per cover — the amount is multiplied by the number of guests. "€20 per person."

A room asks for a deposit or a card guarantee, never both.

How it works

  1. A group asks to privatise.
  2. You accept the request.
  3. Klarr emails the payment link to the guest. You have nothing to copy: accepting and asking for the deposit are the same gesture.
  4. They pay by card, on a secure Stripe page. The money arrives in your account.
  5. The booking moves to deposit paid.

The payment page the guest receives: "Deposit of €440.00", in the name of Société Lumière, the vaulted cellar privatised for 22 covers, and the "Pay €440.00" button.

As long as it is unpaid, it stays in "Deposits and card guarantees", on the Bookings page. You'll find the link there, and an "Remind by email" button if the guest drags their feet — no more than once every half hour: reminded three times in ten minutes, they don't pay faster, they mark you as spam.

Following up

Each booking with a deposit shows its status: expected, paid, refunded. As long as a deposit is expected, the room stays blocked: you accepted, you keep your promise.

Refunding

From your Stripe dashboard. It is your money and your guest: Klarr doesn't decide on a refund for you.
