A private event, a group, a company meal: the client wants a price before committing. Klarr makes the quote from the request itself.
Drawing it up
On the request, in Bookings, click "Draw up a quote". A draft opens, already linked to the client and the date. A second click reopens the same quote: there are never two for one request.
Add your lines: a label, a quantity, a price, a VAT rate (10% by default, 20%, 5.5% or 0%). The totals excluding VAT, VAT and including VAT are calculated automatically.
You can also:
- ask for a deposit;
- set the validity date (30 days by default);
- add a note for the client and your terms (cancellation conditions, etc.).
Quotes are numbered in sequence, by year (DEV-2026-001…).
Your services, once and for all
A line you often offer ("Group menu", "Glass of champagne") is saved in your catalogue. It will be offered again on the next quote, with its price and rate: no more need to reopen your spreadsheet.
Sending it
Send saves the quote and emails it to the client, with a link. Any reply goes to your venue's contact address.
If the client left no email address, or if sending fails, the quote stays saved: copy the link and send it yourself.
You can also print it or save it as a PDF.
The client's answer
From the link, the client can:
- accept: their agreement confirms the booking, and if there is a deposit, they are taken to payment;
- decline, saying what doesn't suit them (the budget, the date, the number of guests…).
The status of the quote updates on the request. What the client sees at the moment of accepting is frozen: if you change your terms later, theirs don't move.
Following up
A quote sent with no answer appears in the "To do" block on the home screen, and in the booking book with the "Quote not accepted" button. Follow up with the client from the booking's record.
